Building a 'Second Brain' for Your Business Using Prompt Templates

The Problem: Repeating Yourself

You keep asking AI the same types of questions: "Summarize this," "Key points?," "Analyze this for [insight]," "Write an email about [topic]." You re-write context every time. Better approach: a library of reusable prompt templates.

What a Prompt Template Is

A prompt with placeholders you fill in. Example: "I'm a [ROLE] at [COMPANY TYPE]. I received this email from a [SENDER TYPE]: [EMAIL TEXT]. Summarize in [LENGTH] focusing on [WHAT MATTERS]. Output: Summary, Key Actions, Urgency." Save it. Next time, fill the brackets and paste the email. Better results, faster.

Consistency — same structure every time. Speed — no re-writing context. Scalability — share with team. Learning — you refine what works.

Building Your Template Library

Start with your top 10 questions (e.g., "What's the main point of this conversation?" "What data to extract from this document?" "Pattern in this behavior?" "How to respond to this email?" "Key metrics here?"). For each, create a template with role, task, details, constraints, output format.

Where to Store Templates

Google Doc (shared, easy to update). Notion (searchable, organized). GitHub (plain text, versioned). Sticky notes / clipboard manager (quick access).

Using Templates With Your Team

Share the library. "Here's a template for analyzing customer feedback. Fill the bracket and paste into ChatGPT." Everyone gets consistent quality and learns what prompts work.

Refining Over Time

Version 1: "Summarize this email." After 10 uses: add focus (urgency, action items) and format. After 50 uses: template is optimized. Update templates quarterly.
