Stop Putting Sensitive Client Data into ChatGPT. Seriously. I Mean It.

The Thing Nobody's Talking About (But Everyone's Doing)

I'm going to guess this has happened at your company:

Someone on your team had a problem. A spreadsheet they couldn't figure out. A document they needed to rewrite. A process they needed to understand. So they opened ChatGPT, pasted the information directly, and asked the AI to help.

The AI gave them a great answer. They solved their problem. Everyone moved on.

But here's what actually happened: Your client data, your business logic, your internal processes—all of it got sent to OpenAI's servers. It was processed by their AI model. It's now part of their training data. And you have zero control over what happens to it next.

This is happening constantly. And almost nobody in your company realizes they're doing it.

Why This Matters (And It's Not What You Think)

You might think the risk is "OpenAI might sell my data." That's not actually the main problem. OpenAI is a legitimate company. They have privacy policies. The real risks are subtler and more dangerous.

Your Data Becomes Part of AI Training
When you paste text into ChatGPT, OpenAI can use it to improve their models. They say they don't use enterprise data for training (if you're on a paid plan). But a lot of your team is probably on the free tier or on a business account where the terms are less clear.

It Lives in OpenAI's Systems Forever (Probably)
You paste something sensitive. You delete it from your chat history. But OpenAI has logs. Those logs exist on their servers. If there's ever a breach, that data could be exposed.

You Don't Know What the AI Will Do With It
You paste a customer's financial situation into ChatGPT and ask for advice. The AI summarizes it. Someone else (your employee, an OpenAI employee, whoever) might see that summary. The customer never consented to this.

It Creates Liability
Your customer contracts probably say you'll keep their data confidential. If you paste their data into a public AI tool, you've violated that contract. Same with employee information if you have data privacy obligations.

It's a Competitive Risk
You paste your business strategy, your customer list, your product roadmap into ChatGPT. An employee at your competitor uses the free tier and sees something in an AI response that smells familiar.

It's Irreversible
Once the data's there, you can't really get it back. You can't email OpenAI and say "Delete that conversation." Well, you can email them, but the data's probably been processed and logged.

What Counts as "Sensitive"

You might think this only matters for ultra-secret information. It doesn't. Sensitive data includes:

  • Customer information: Names, emails, phone numbers, addresses, transaction history
  • Financial data: Revenue numbers, pricing, customer spend, contract terms
  • Internal process information: How you operate, how you make decisions, who reports to whom
  • Employee information: Names, roles, email addresses, compensation (sometimes)
  • Proprietary processes: How you do things differently than competitors
  • Contracts and agreements: Terms you've negotiated with clients or vendors
  • Product information: What you're building, your roadmap, beta features

Is all of this "secret"? Maybe not. But it's all information you didn't consent to have processed by an AI company.

How Widespread Is This?

The honest answer is: We don't know exactly, but it's probably happening at your company right now.

ChatGPT is incredibly useful and easy to use. When someone has a problem, their first instinct is "Let me ask ChatGPT." They don't think through whether the information is sensitive. They just paste it and ask. Most companies don't have clear policies about this. So people don't know it's a problem. And even if you tell someone "Don't put sensitive data in ChatGPT," they'll probably do it anyway because it's the easiest solution to their problem.

The Scenario That Shows Why This Matters

Imagine this happens at your company: Your customer success team uses ChatGPT to write better customer emails. They paste customer feedback into ChatGPT and ask: "How would you respond to this customer complaint?" Helpful, right? The AI writes a great response. Your team uses it.

But here's what actually happened: 1) Your customer's complaint is now in OpenAI's system. 2) OpenAI's AI learned what your customers complain about. 3) An employee at a competitor who uses the free ChatGPT might see a similar complaint in their own chat. 4) Your customer never consented to this.

Is the risk catastrophic? Probably not. But it's a risk you created without thinking about it. And if your customer agreement says "We will keep your information confidential," you just violated it.

What You Should Be Doing Instead

Option 1: Use a Private AI Tool
There are AI tools designed for businesses that don't send your data to public servers. Claude API (with privacy controls), tools built on Llama that run locally, or enterprise versions of ChatGPT. These cost a bit more, but the data stays under your control.

Option 2: Redact and Generalize
If you must use ChatGPT, remove identifying information first. Instead of "Customer John Smith at Acme Corp spent $50k and is angry about X," write "A B2B customer with a $50k annual contract is dissatisfied with the onboarding process. How would you recommend I respond?" This keeps the business logic but removes specific identifying information.

Option 3: Use ChatGPT for General Questions Only
ChatGPT is great for "How do I write a professional email?" or "What are best practices for customer retention?" It's not great for "Here's my customer data, what should I do?" The first is fine. The second isn't.

Option 4: Create a Policy and Communicate It
Tell your team: Don't paste customer data into any public AI tool; don't paste internal data (financials, strategy, employee info) into any public AI tool; if you want to use ChatGPT, ask yourself: "Would I be okay if this appeared on the internet?" If not, don't paste it. And then actually enforce it. Not harshly. Just redirect people when they slip up.

The Corporate Context (And Why It Matters)

You might think "This is just a policy thing. No big deal." But there's a bigger context here. Major corporations are now restricting employee access to ChatGPT. Not because ChatGPT is bad. Because they realized how much sensitive information their employees were pasting into it. If JPMorgan, Goldman Sachs, and Apple are all restricting ChatGPT access, it's because they identified real risk. That risk exists at your company too.

The Practical Fix

Step 1: Audit Your Current Usage
Do you use ChatGPT? How? For what? Are people pasting sensitive data? You don't know until you ask. Spend 15 minutes asking your team: "Do you use ChatGPT or Claude or other public AI tools? What do you use them for? Have you ever pasted customer data or internal information?"

Step 2: Create a Simple Policy
Write down: What tools are approved for use; what kind of data is okay to put in them (none, or only anonymized data); what kind of data is never okay; what to do instead if you need help with sensitive data.

Step 3: Communicate It
Send an email. Have a quick team conversation. Make it clear. And make it clear that this isn't about surveillance or punishment. It's about protecting the company and your customers.

Step 4: Provide Alternatives
If people are using ChatGPT to solve problems, give them tools that do the same thing but securely.

What This Looks Like in Practice

Bad approach: "Hey team, don't use ChatGPT. It's a security risk. Bye." (Everyone will keep using it secretly.)

Good approach: "Hey team, we love that you're using AI tools to work more efficiently. We need to be thoughtful about what data we put into public AI tools because of our commitments to our customers and our need to protect our business information. Here's what's okay to use ChatGPT for: [examples]. Here's what's not okay: [examples]. If you need help with sensitive data, use [alternative tool] instead. Questions?"

This isn't a judgment thing. ChatGPT is incredibly useful. Most of your team is probably using it and probably should be. The issue is just doing it thoughtfully.
